Implement A Maintenance Work Order Process

Maintenance work orders are often prioritized by necessity and cost.


A maintenance work order process must be implemented properly to maximize its efficiency. Maintenance work orders are often received, evaluated and performed by at least three different employees. Each human link in the operational chain plays an important roll in maintaining a safe and cost effective facility. The entire order process tends to run more smoothly when employees understand their role and the roles of their coworkers. Put responsibility in the hands of the responsible for a functional work order process.


Instructions


1. Write out the scope of the maintenance work order system to be implemented. Specifically list every facility, vehicle and employee involved in the operation from start to finish.


2. Draw a poster-sized process chain that shows the movement of a work order request from the moment is it received until the completion of the work. Label each step in the process with the name or names of the people who hold the position. Branch each level into the possible options for handling or denying the request.


3. Hold a meeting with all the staff members involved in the maintenance order process. Explain the scope of the operation and the importance of each level in the process to everyone at the meeting. Walk them through the maintenance order system step by step using the process chain diagram.


4. Ask the employees for feedback now and in the future on how they feel the work order process could be improved. Train the staff on use the work order paperwork or computer software. Work to implement money and time saving employee ideas right away.


5. Monitor a few of the maintenance work orders as they move through the process. Evaluate the process for problems like under-staffing and miscommunication. Work one-on-one to retrain staff members who tend to cause problems in the process.
